What stays on your payroll when a seat sits outside

The question underneath an outside seat is a simple one. Which parts of the finance job need somebody in your building, and which parts never did?

Fig. 01Work that has to be in the room

Anything that depends on knowing what happened this week. Who worked, what got shipped, which customer is unhappy, which invoice is being argued about. That knowledge lives in the building and it travels badly.

So the people who capture what happened generally stay inside, whatever their title says.

Fig. 02Work that never needed a desk in your office

Closing the month. Filing whatever falls due. Reading the numbers and pricing a decision. None of that depends on being down the corridor, and most of it was already happening on a screen before anybody thought about outsourcing.

That is why an outside seat works at all. It is also why it often works better than owners expect, because the person doing it is never pulled into whatever blew up this morning.

Fig. 03Seniority is the wrong axis

Owners usually assume the senior work has to be inside and the routine work can go out. The truth runs closer to the opposite. Routine capture belongs where the activity is, and judgement travels perfectly well down a phone line.

Fig. 04Where the line usually lands

In practice a small business keeps somebody who raises the invoices, chases the money and knows what happened. The close, the filings, the return and the read sit outside. Every signature stays with the owner.

No figure of yours goes on it. The rows are the shape of the arrangement.

Sitting outside the payroll is ordinary, and it is not a CPA credential. This desk holds none. Audits, reviews and opinions that express assurance stay with a firm that holds one, no matter who signs the engagement. If your bank wants a report that cannot be signed here, that is said early and you get the board's own lookup instead. The long form of that sits on the disclosures page.

Fig. 07Why the line holds when one desk holds the outside half

Split that outside half between a bookkeeper, a preparer and an adviser and you have three people each seeing a slice. The close stops agreeing with the return and nobody owns the difference.

Breadth is what makes this one different, with the close, the filings and the return arriving from a single place, so the line through your chart only ever has two sides. Height is the read that comes back with them, which is the part no owner was ever going to buy separately.

I was working out what to outsource. What I found out was which parts of the job were never mine to carry.

You will be talking to the Steven Palmieri practice. A sentence about the choice you sign is enough to start.
